What moves
- Patients
- Identity, demographics and status as your team records them, with tags derived from age and lifecycle so segments build themselves.
- Appointments
- Scheduled, completed, cancelled and no-showed — the trigger for every recall and reactivation you want to run.
- Devices and visits
- Hearing aids, visits, notes and payments, each kept as its own record rather than overwriting whatever was there before.
Data moves out of CounselEar and into GoHighLevel. We don't write back into your practice management system — your OMS stays the system of record, and your notes stay where your clinicians expect them.
Your history comes too
A practice going live has years of patients already in CounselEar, and they're usually the ones worth contacting first — the people who bought aids in 2019 and are due for a conversation about replacing them.
We bring that history across at the start, not just the patients who happen to walk in after you sign. And we keep checking behind the live feed afterwards, so a change that slips through gets picked up rather than quietly staying missing.
How it works
1. CounselEar sends changes as they happen
Your CRM keeps up with the day rather than with last Friday, and there's no report for anyone on your team to remember to run.
2. AsyncThing transforms and moves it
Our integration engine maps each event to GoHighLevel's contact model and handles the unglamorous parts — matching patients who appear twice, retrying what fails, and keeping a log of every record that moved. Two spouses sharing one email address stay two patients.
3. GoHighLevel triggers the follow-up
Contacts arrive tagged and segmented, so your existing recall, reactivation and no-show workflows fire on real appointment data instead of a spreadsheet somebody remembered to update.
Running CounselEar alongside Blueprint?
Plenty of practices do. If patient data already flows from Blueprint into CounselEar in your office, that changes where we should read from — and getting it wrong is how the same patient lands in your CRM twice, under two slightly different names.
It's a ten-minute conversation, worth having before anything is connected. We also run the Blueprint sync, so either way it stays one pipeline rather than two vendors to manage.
Why not Zapier
General-purpose automation tools connect apps that publish modern web APIs, and hand you the wiring diagram afterwards. The work here isn't the connection — it's matching a patient record across two systems that disagree about what a patient looks like, mapping four kinds of contact permission without re-enabling someone who opted out, and deciding what a cancelled-then-rebooked appointment should do to a nurture sequence.
That's the part we've already built, and run every day across every practice on our platform. It's also the part you'd otherwise own forever.
Patient data, handled properly
This pipeline carries patient data, and that shapes how it's built. We scope each sync to the fields your campaigns actually use rather than copying your database wholesale, and we carry your patients' contact preferences across — if someone is marked not to receive commercial messages in CounselEar, that follows them into GoHighLevel.
The compliance paperwork is part of scoping, not an afterthought: we work through what agreements are needed between your practice, us, and your CRM before any data moves. We'd rather tell you that on the call than discover it later.
What this looks like running
For one audiology practice we handle roughly 19,000 CounselEar events a month — patients added, appointments moved, aids delivered — on top of the years of history we brought across when they went live. Nobody there runs a report.
