Sycle to GoHighLevel

Sycle knows which patients bought hearing aids, when the warranty runs out and who hasn't been tested in three years. Your CRM knows none of it — so the warranty campaign gets built from a spreadsheet somebody exported, and it's out of date by the time it sends.

AudiologySync is a managed pipeline between the two. It runs every night, it's monitored, and when it breaks we find out before you do.

What moves

Patients
Names, phones in the order your front desk actually uses them, email, address, date of birth and preferred language.
Devices and tests
Hearing aid model, serial, purchase and delivery dates, warranty, and the latest hearing test per side — the fields a warranty or recall campaign is built on.
Contact preferences
Call, text, email and mail permissions, mapped across to how your CRM expresses them. Someone who opted out stays opted out.

Data moves out of Sycle and into GoHighLevel. We don't write back into your practice management system — your OMS stays the system of record.

How it works

  1. 1. Your Sycle data comes across every night

Setting this up is the most involved of our three integrations, and we run it with you — once. That's precisely why nothing needs your attention afterwards: no report to run, no list to export, nothing for anyone to remember.

  2. 2. AsyncThing transforms and moves it

Our integration engine maps each record to GoHighLevel's contact model and handles the unglamorous parts — matching patients who appear twice, retrying what fails, and keeping a log of every record that moved.

  3. 3. GoHighLevel triggers the follow-up

Contacts arrive tagged and segmented, so your existing recall, warranty and reactivation workflows fire on real data instead of a spreadsheet somebody remembered to update.

Sycle or Sycle Classic?

They are not the same integration. Practices often don't know which one they're on — the answer tends to show up in how your reporting screens look and when the practice last migrated, rather than in anything the software says outright.

It's the first thing we work out on the call, and the reason we don't quote a timeline before having it. A connection scoped against the wrong generation is the kind of mistake that surfaces three weeks in.

Why not a general-purpose automation tool

Connecting two systems is the easy half, and it's the half those tools sell. The work is in the specifics — matching a patient who exists twice under two spellings, mapping four kinds of contact permission without accidentally re-enabling someone who opted out, and deciding what a returned hearing aid should do to a campaign that was about to congratulate them on it.

Then it's keeping it running — a field changes, a format shifts, and a pipeline nobody is watching quietly stops. That's the part we've already built, and run every day across every practice on our platform. It's also the part you'd otherwise own forever.

Patient data, handled properly

This pipeline carries patient data, and that shapes how it's built. We scope each sync to the fields your campaigns actually use rather than copying your database wholesale, and we carry your patients' contact preferences across — if someone is marked not to receive commercial messages in Sycle, that follows them into GoHighLevel.

The compliance paperwork is part of scoping, not an afterthought: we work through what agreements are needed between your practice, us, and your CRM before any data moves. We'd rather tell you that on the call than discover it later.

What this looks like done

We migrated 23,500 patient records out of Sycle for a multi-location audiology practice in Ohio, and the nightly sync has run for them ever since. That is the whole shape of this: one migration you only do once, then a pipeline nobody has to think about.
